It is now nececessary that anyone who uses the services of an ESP to send their emails create DKIM and SPF DNS Records in order that the recipient Email Clients can verify (and they all do) that the originator of the emails has authorised the ESP to send emails on their behalf.
Failure to do so, correctly, will result in a high percentage of the emails sent being rejected by the receiving Email Clients, and pretty quickly the Client’s Domain will be blacklisted – damaging your own online reputation in the process.
It is necessary that you set that up for each of your Clients, as the default is that a Client cannot do so. It is just a two minute job – In your Master Dashboard (not a client’s dashboard) go to “Settings” > “Customers” > “Domains” as per the screen shots below.
Select Domains from the Tabs at the top of the Page. Leave Manage Tracking Domains as the default “No” as it is not nececessary and unless your Client is VERY savvy they will just screw it up. Set “Sending domains” to Yes and “Max. sending domains” to -1 which is how to set “Unlimited Domains”.
Click Save changes. The function “My Domains” will now be added to the Client’s Dashboard Main Menu.
There is extensive guidance on just how the Client should set up the DKIM and SPF DNS Records in http://setup.sendreach.com/setup/sending-domain-dkim-spf-records/ and its sub-pages.
The ONLY difference is that for a SendReach Account Domain DKIM the “Name” field in the DKIM Record in your Hosting Company Control Panel needs to contain sendreach._domainkey whilst for an ML or ML Client Domain DKIM Field it needs to be mailer._domainkey
There are two pieces of Free Software that can be used to check that DKIM and SPF DNS Records have been successfully set up and propogated to the worldwide DNS Servers.
Enter Mailer as the Selector and of course the relevant Domain name (just the name with NO http:// or www.)
The Application then confirms that the Record is correctly set up and propogated – or not.
If an issue is reported it is always advisable to delete the record in the Control Panel and create a new one as fault finding an existing Record is a fruitless excercise.
There can be more than one DKIM Record set up for any one Domain if required.
Enter the Domain name – select TXT from the drop down list and click Search.
The propogated SPF Record will be displayed
Whilst a Control Panel will allow the setting up of more than one SPF Record, more than one will never authenticate correctly. Therefore if there is already an SPF Record set up for a Domain when you come to add the one you require, then a combined Record has to be created including the necessary TXT from both.
v=spf1 mx a ptr include:_spf.sendreachesp.com ~all
v=spf1 mx a ptr include:_spf2.hostgator.com ~all
would become a combined record as below
v=spf1 mx a ptr include:_spf.sendreachesp.com include:_spf2.hostgator.com ~all
(make sure there is always just one space between each portion of the TXT)
If you create a new combined Record do not forget to delete the original one.
